E-invoicing

From obligation to a working process.

E-invoices provide structured data. We turn that data into a consistent invoice workflow.

From receipt, checking and approval through to your accounts – built around DATEV, with personal support.

A plain PDF shows an invoice.
E-invoices provide data.

A plain PDF contains no structured invoice data. An e-invoice, by contrast, enables electronic processing. ZUGFeRD combines a readable PDF with embedded XML data.

Structured data can be validated technically and processed directly. Rework is reduced when software, responsibilities and accounting fit together.

often checked manually or visually

The value comes from the process. Check data, clarify approvals and bring invoices into your accounts.

From receipt
to your accounts.

Five connected steps. We coordinate receipt, checking, approval and processing so that your figures become useful sooner.

1

Receive

E-invoices arrive through agreed channels.

2

Check

Check the format and invoice details, and verify the goods or services supplied.

3

Approve

Your business agrees who checks and approves invoices.

4

Process

Structured data feeds into the DATEV workflow.

5

Use

Accounts and reports become useful sooner.

Your starting point:
an e-invoicing review.

Review the invoice workflow. Set up the DATEV process.

We review how invoices currently reach your business, who checks them, how they are approved and how they reach your accounts.

We then develop the right DATEV workflow with you and support your team through implementation.

Keep the deadlines in view.

Businesses in Germany have had to be able to receive e-invoices since 2025. Transitional rules apply to issuing invoices for domestic B2B transactions.

We help you establish which requirements apply to your business and which steps make sense now.

2025

Ensure you can receive e-invoices, including if you use the small-business VAT scheme. An email inbox is sufficient for receipt.

2026

Paper invoices remain permitted until the end of the year; plain PDFs require the recipient’s consent.

2027

Generally issue e-invoices for transactions from 2027 if total turnover in 2026 exceeded €800,000.

2028

From 2028, the turnover-based transitional rule ends. E-invoicing generally becomes mandatory for domestic B2B transactions in Germany.

Frequently asked questions about e-invoicing.

Can a PDF qualify as an e-invoice?

A plain PDF is not sufficient. A ZUGFeRD PDF can qualify as an e-invoice if its embedded structured data meets the statutory requirements.

Which formats are relevant?

Common formats include XRechnung and ZUGFeRD from version 2.0.1, excluding the MINIMUM and BASIC-WL profiles. The statutory requirements for format and content are decisive.

Does every business have to issue e-invoices immediately?

No. The obligation to issue e-invoices depends on turnover, transitional rules and exemptions. Businesses in Germany have had to be ready to receive them since 2025.

Why set up the process now?

An organised invoice workflow can reduce rework and follow-up queries. Automated onward processing is not a general statutory requirement, but receipt and proper retention must be ensured.

How should e-invoices be retained?

For VAT purposes, invoices generally have to be retained for eight years. At least the structured part must be preserved intact in its original form. A printout is not sufficient.

What does technical validation do?

Validation can identify format and data errors. It does not replace checking the goods or services invoiced or assessing the tax treatment.
